Facilities & Operations Coordinator

What You’ll Be Doing:
- People Management & Leadership
- Lead and support a team of up to 10 Administration Assistants.
- Oversee recruitment, interviews, and onboarding of new team members.
- Carry out 1-1s, probation reviews, and PDRs to drive team development.
- Manage rotas, flexible working requests, holiday cover, and absence processes.
- Promote a positive team culture and provide hands-on training across office service functions.
- Office & Facilities Management
- Ensure all offices are clean, professional, and client-ready.
- Carry out physical tasks: setting up furniture, reorganising layouts, preparing collaboration days, supporting events, and facilitating office moves.
- Liaise with suppliers, manage petty cash, and support departmental requests.
- Act as the go-to person for all things operational—keeping everything running like clockwork
- Health & Safety
- Oversee daily, weekly, and monthly H&S checks (including fire alarms, water temperatures, defibrillators, emergency lighting).
- Deliver fire drills, manage first aid/fire marshal training, and complete risk assessments with follow-ups.
- Keep safety boards and evacuation plans up to date in each office
- IT & Equipment Support
- Support new starters with desk setup and IT onboarding.
- Manage equipment installations—screens, docking stations, phones—and resolve basic kit queries
- Projects, Events & Marketing
- Coordinate internal events, marketing material distribution, and support firm-wide initiatives.
- Assist with local marketing activities and manage branded materials and signage.
- Reception & Admin Support
- Step in to cover reception and admin when needed—ensuring business continuity and top-level client service.
Who We’re Looking For:
- Physically Capable & Hands-On: This is not a desk job. You’ll be lifting, moving, travelling between offices, and responding quickly to varied requests.
- Previous Supervisory Experience: Whether in facilities, hospitality, cinemas, logistics, or events—if you’ve managed people and led from the front, we want to hear from you.
- Practical, Organised & Reliable: You’ll need to juggle tasks, manage your time and your team, and keep our environments running seamlessly.
- Full Clean Driving Licence: Travel across our offices in Swansea, Carmarthen, Brecon, and Whitland is required Expenses paid.
- Energy & Adaptability: Bring initiative, positivity, and the ability to react and respond calmly to whatever the day throws at you.
